AXS-One Adds New Customer for Compliance and Operational Archiving
- 08 February, 2007 09:36

AXS-One Pty Ltd, a leading provider of high performance records compliance management solutions, has been awarded a new contract from Lafarge Plasterboard for its compliance and operational archiving software solutions.

Lafarge Plasterboard manufactures and distributes plasterboard products through its national distribution network of more than 40 Lafarge PlastaMasta Centres. The Lafarge group of companies has sales of over 14 billion Euros, is listed on the Paris and New York Stock Exchanges and employs 77,000 people in 75 countries.

Modules of the AXS-One Compliance Platform™ were purchased with solutions for file system archiving and email archiving for Lotus Notes to address both operational and compliance requirements; and records management.

David Thompson, managing director of AXS-One in Asia Pacific, said Lafarge Plasterboard acknowledged the key benefits of being able to efficiently manage its unstructured documents within a single, scalable archiving repository, which will provide the company with regulatory compliance and record integrity as well as delivering significant cost and productivity savings.

"Most organisations use file systems as their archives, which creates risk because they aren't managed and add to a massive storage overhead. The AXS-One Compliance Platform allows unlimited volumes of unstructured data generated from different applications, such as emails, word processing, spreadsheets, images, videos and PDFs to be captured and securely stored in a central repository before anyone has the ability to delete or modify them in any way. Using a web-based portal, users can quickly search and retrieve these records," Mr Thompson said.

Following a Sarbanes Oxley audit at Lafarge Plasterboard, Steve James, the company's IS manager, said it was recommended to install an automation tool for archiving emails and other data.

"While compliance was an important reason for implementing an AXS-One solution, we could also see considerable operational cost savings in a retention system that provides users with a self-serve arrangement to access their archived emails and documents," said Mr James.

Currently, if the HR department or an employee needs old emails or other files that have been archived to tape, IT support staff have to find the right tape, physically retrieve it from an offsite tape storage depot, load the tape on to a server, search it to find the right mailbox and then try and locate the email required. This process can take more than 24 hours, rather than seconds. Often the email or document cannot be found because it had been deleted.

When AXS-One's solution is installed for its Lotus Notes email server and multiple file and print servers in Lafarge offices around Australia, users will experience a more rapid response because less data will be stored on these servers. They will benefit from fast, self-service access to archived information and will not need to call the help desk for support so often. The support team will also benefit because it avoids the lengthy tape recovery process.

"We expect a rapid return on investment with savings to be gained from a reduction of tape costs, support costs and productivity savings of approximately 15 minutes per day per mailbox user, which is a considerable saving. Because archiving will be an automated process, users will no longer need to manually archive documents and emails to free up space in the mailbox.

"And of course, all our emails and data will be there if and when we need them, which is particularly important for litigation purposes," Mr James added.
